Job description

M-KOPA UK Limited is seeking an experienced CIPD qualified Assistant HRBP, or an exceptional administrator or PA with CIPD 3 level qualification who is looking to progress into an HR role. This position will assist the HR Business Partner who covers HR operations in the UK, EU, Hong Kong and China region and is a part of an innovative and exciting global HR team and company.

This is currently a remote role though the successful candidate will, post COVID, be required to attend our offices in Woking, Surrey, UK.

SPECIFIC RESPONSIBILITIES  

 Key responsibilities, though not limited to, will include:

General

  • Support and assist the HRBP with a broad range of generalist HR administration, tasks and HR projects that are part of local and global HR initiatives, with a focus on tech and data science recruitment.
  • Liaise with the HRBP on employee related queries and ensure timely responses.
  • Provide additional administrative support to the Director of Technology and Data Science for occasional ad hoc projects, together with the UK Administration Officer.
  • Provide cover for the HRBP as required.

Recruitment:

  • Recruitment will be a major element of this role, particularly for the Tech and Data Science Teams. Supporting the HRBP and recruiting managers through the entire recruitment process, including placement of job adverts, liaise with recruitment agencies; manage applications and the interview process; communicate with line managers and ensure timely responses to applicants/agencies; arrange interviews and manage candidate tests; work closely with the line managers and HRBP with job offers and declinations; prepare job offer letters and employment contracts and communicate with unsuccessful candidates.
  • Assist with recruitment initiatives and ad hoc projects.

Onboarding:

  • Communicate with new employees with onboarding documentation and information.
  • Ensure accurate and correct documentation is obtained for new employee and contractor files adhering to company and legal requirements.
  • Organise supply of company equipment and manage records.
  • Set up new IT accounts with IT support colleagues.
  • Support line managers with induction processes.
  • Liaise with HR colleagues to add new starters on HR software systems (Appogee, Culture Amp).
  • Provide new employee documentation to HRBP for payroll adjustments.
  • Organise welcome packs for new employees.
  • Work with the global HR team to support and develop onboarding and induction processes.

Probation Periods

  • Organise diary reminders for line managers and obtain probation progress reports.
  • Flag any probationary concerns to the HRBP.
  • Communicate successful completion of probationary periods to employees.
  • Add employees to benefit schemes on completion of probation.

Employee benefits

(salary sacrifice, pension, life insurance, medical insurance and company bonus)

  • Proactively provide information and promote benefits to employees.
  • Manage and collate benefits membership.
  • Ensure correct documentation is held on employee files.
  • Liaise with benefit providers to ensure starters and leavers are adjusted on memberships.
  • Respond to employee queries and requests for support.
  • Complete annual employee benefit audits.
  • Assist with projects to evaluate suppliers and benefits.

Exiting

  • Provide assistance to support employees exiting the company, including drafting documentation and arranging exit interviews.
  • Collate and manage exit data.

Employee files

  • Organise and supervise the maintenance of employee files, ensuring accuracy, confidentiality, company & legal compliance.
  • Complete regular audits on employee files, archive and destroy information in line with GDPR and HR compliance.

Payroll

  • Respond to employee payroll queries and liaise with HRBP and external payroll providers to resolve.
  • Provide cover in HRBP’s absence, to submit and check payroll adjustments.

Employee Relations

  • Assist HRBP with a variety of employee relations projects.
  • Provide minute taking during employee meetings and produce accurate minutes.

·      Policy and Process

  • Ensure Policies are kept updated and are easily accessible to employees.
  • Support and advise employees on Policy and Process with HRBP liaison.

KNOWLEDGE, SKILLS, ATTRIBUTES

The successful applicant will have strong organisational abilities and communication skills, as well as excellent stakeholder relationship building skills.   

The ideal candidate will have: 

  • A minimum of 3 years HR administrator experience or 5 - 7 years of solid administration or PA experience and strong desire to progress into HR;
  • Not essential but ideally, experience of working in a tech company;
  • Advanced MS Office skills; Excellent communication, correspondence and minute taking skills;
  • CIPD membership and CIPD Level 3 certificate
